Connect enquiries, listing preparation and settlement handovers

Give each enquiry and property record a clear next step without repeating the same document and scheduling chase across inboxes.

For Agency principal, sales operations manager or property administrator

How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

A viewing enquiry arrives outside office hours

Finished result

A qualified viewing request or resolved factual enquiry linked to the property.

  1. 01Identify property and enquiry
  2. 02Read approved listing facts
  3. 03Check viewing availability
  4. 04Record chosen next step
When something does not fit

The property is under offer or a requested private viewing needs access approval.

What happens next

Offer the approved alternative and route the access request to the assigned agent.

Inputs, checks and measurement
What starts the workflow
A prospect asks about a property and available inspection times.
Before taking action
Use current listing status and capture contact details with the enquiry context.
Measure the change
Scheduling touches and enquiries waiting without an assigned response.

A listing is waiting for documents and approval

Finished result

A review-ready listing pack with missing or disputed facts visible.

  1. 01Create property checklist
  2. 02Request missing records
  3. 03Compare submitted details
  4. 04Prepare publication review
When something does not fit

The floor plan and vendor description disagree about a room or car space.

What happens next

Flag the discrepancy for the responsible agent before publication.

Inputs, checks and measurement
What starts the workflow
A new property record contains photos but incomplete vendor information.
Before taking action
Keep authority, factual property details and marketing approval distinct.
Measure the change
Time spent chasing documents and listing rework.

An accepted transaction passes between teams

Finished result

A current task and document pack with accountable owners.

  1. 01Capture accepted instructions
  2. 02Assign milestone tasks
  3. 03Collect required acknowledgements
  4. 04Confirm handover completion
When something does not fit

A changed date arrives in an email thread after tasks have been scheduled.

What happens next

Compare the change with the approved record and request confirmation before replacing deadlines.

Inputs, checks and measurement
What starts the workflow
An agent hands a transaction to administration with dates and outstanding conditions.
Before taking action
Use verified dates and preserve who owns each condition or client update.
Measure the change
Handover preparation time and tasks missed after date changes.
Fit before features

When custom work makes sense.

Use CRM automation for straightforward follow-up. Custom workflows help when listing documents, calendars and transaction handovers have different owners or completion rules.

Connect the records you already use

  • CRM and listing records
  • Viewing calendars and enquiry channels
  • Document checklists and transaction tasks

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

Go deeper

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Can the system decide which applicant or buyer to accept?

The proposed workflow collects information and coordinates administration. Selection, negotiation and professional judgement remain with the responsible people.

Can it publish a listing as soon as details arrive?

Only after the required authority and content checks. Missing approval, conflicting property facts or unsupported claims should hold publication.

Can enquiry follow-up stay in our current property CRM?

We first check how enquiries, property status, assigned agents and contact preferences can be accessed and updated. Use a stable property reference and agreed ownership rules to avoid duplicate follow-ups. Where a required write is unavailable, scope a staff task or supported handoff instead of promising a native connection.

What happens if a listing detail changes after the vendor approves it?

Retain the approved version and identify which text, photographs or property details changed. Route affected material back through the agreed approval path before publication. Where channels can be updated, record their acknowledgement; preparation of revised copy does not establish that every listing destination now shows it.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
