Quote the real delivery and installation conditions

Connect product choices with site access, supplier lead times and the installation handover. Make assumptions visible before a quote becomes a promise.

For Commercial furniture dealer, fit-out coordinator or installation manager

How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

The same furniture needs a different delivery quote

Finished result

A quote with explicit assumptions, required checks and priced scope.

  1. 01Collect items and dimensions
  2. 02Capture stairs, lifts and loading access
  3. 03Apply labour and delivery rules
  4. 04Prepare conditional quote
When something does not fit

A table fits the lift cabin but cannot turn through the corridor.

What happens next

Request a site check or propose an approved assembly and access alternative.

Inputs, checks and measurement
What starts the workflow
A customer requests tables and chairs for an upper-floor office.
Before taking action
Confirm booking windows, parking permission, assembly scope and permitted access.
Measure the change
Quote preparation time and delivery changes caused by missing site facts.

A fit-out has several delivery milestones

Finished result

An agreed staged plan with the owner and status of each delayed item.

  1. 01Map products to site stages
  2. 02Check supplier acknowledgements
  3. 03Compare arrival and access dates
  4. 04Update delivery plan
When something does not fit

Joinery delays the site handover after the first furniture shipment is ready.

What happens next

Offer an approved storage or rescheduling option and obtain changed-cost acceptance.

Inputs, checks and measurement
What starts the workflow
An accepted order combines stocked items and long-lead supplier pieces.
Before taking action
Separate confirmed supplier dates from estimates and reserve only authorised stock.
Measure the change
Coordination time and avoidable redelivery or storage work.

Installation finishes with a small snag list

Finished result

A completion pack and tracked snag list that billing can interpret correctly.

  1. 01Match installed items to scope
  2. 02Record shortages and defects
  3. 03Assign snag actions
  4. 04Prepare completion evidence
When something does not fit

The client signs receipt but disputes the finish on two chairs.

What happens next

Keep the disputed lines open and route replacement approval to the right owner.

Inputs, checks and measurement
What starts the workflow
The crew submits photographs and a signed delivery record.
Before taking action
Distinguish accepted installation, outstanding work and chargeable changes.
Measure the change
Handover preparation time and unresolved defects before final billing.
Fit before features

When custom work makes sense.

Standard quoting software is sufficient for straightforward supply. Custom rules help when dimensions, access, staged delivery and installation scope change the cost or feasibility.

Connect the records you already use

  • Product catalogues and supplier availability
  • Site surveys, plans and customer enquiries
  • Quotes, delivery schedules and installation records

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

Go deeper

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Can you check permits and building access automatically?

The workflow can collect requirements, check approved sources and route missing permissions. A permit is not granted merely because a checklist is complete.

What if the customer cannot provide lift dimensions?

Keep that assumption explicit and request a survey or a conditional quote. Do not promise access that has not been established.

How do staged deliveries change the quote and installation plan?

Keep each stage linked to its items, site readiness, storage needs and agreed installation window. A delayed floor handover should flag the affected delivery, crew and cost assumptions. Revised charges or dates follow the agreed approval process rather than overwriting an accepted quote.

Can delivery receipts and snag lists feed the billing process?

Link receipt, installation completion and unresolved snags to the relevant quote lines. Agree what evidence makes each milestone billable and how disputed items are held. A signed delivery receipt can confirm receipt without proving that installation, finish quality or every commercial milestone has been accepted.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
