Bring vehicle details, parts and approved work into one job flow

Reduce repeated intake and approval chasing around workshop jobs. Keep diagnosis and safety decisions with the technician while administration follows the agreed next step.

How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

A booking request does not identify the vehicle variant

Finished result

A clear intake record without an unsupported diagnosis or repair promise.

  1. 01Collect registration or VIN
  2. 02Confirm variant and requested work
  3. 03Record symptoms and availability
  4. 04Prepare adviser brief
When something does not fit

The vehicle details match two engine variants or the symptom sounds urgent.

What happens next

Ask for the missing identifier and route urgency to the workshop’s responsible person.

Inputs, checks and measurement
What starts the workflow
A customer asks for a service and describes a warning light.
Before taking action
Separate a routine service request from symptoms needing technician assessment.
Measure the change
Adviser handling time and bookings needing repeated clarification.

The booked repair depends on a delayed part

Finished result

A booking supported by parts readiness and the right workshop resources.

  1. 01Match approved part
  2. 02Confirm supplier availability
  3. 03Compare bay and technician capacity
  4. 04Propose ready-to-work slot
When something does not fit

A replacement part number is offered without confirmed compatibility.

What happens next

Hold the substitution for technical approval before confirming a customer date.

Inputs, checks and measurement
What starts the workflow
A technician-approved job needs a specific part and bay time.
Before taking action
Check part supersession, supplier ETA and expected labour requirements.
Measure the change
Parts-related rescheduling and admin minutes per repair booking.

Additional work is approved during the visit

Finished result

An invoice-ready job reflecting work actually approved and completed.

  1. 01Prepare itemised additional scope
  2. 02Request customer decision
  3. 03Record accepted work
  4. 04Match completion to billing
When something does not fit

The customer approves one item but postpones the other recommendation.

What happens next

Release only accepted work and keep deferred recommendations separate.

Inputs, checks and measurement
What starts the workflow
The technician identifies an extra repair after inspection.
Before taking action
Preserve approved price, scope and the identity of the person who authorised it.
Measure the change
Approval chase time and billing disputes over unapproved work.
Fit before features

When custom work makes sense.

Use workshop software for standard service scheduling. Custom links help when VIN-specific parts, customer approvals and supplier updates sit in separate systems.

Connect the records you already use

  • Workshop management and booking system
  • Vehicle details and parts catalogues
  • Customer approvals and invoices

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Can AI diagnose a vehicle for the customer?

The proposed scope collects symptoms and routes information. Diagnosis, repair advice and vehicle safety release stay with the responsible technician.

Can extra repairs be added to an invoice automatically?

Only after the required customer authorisation and work-completion checks. The system should preserve what was approved and at what price.

What vehicle and parts information is needed before confirming a repair booking?

Use the identifiers your workshop relies on, such as registration or VIN, the requested work and relevant part references. Confirm permitted access to your vehicle or parts catalogue and who resolves ambiguous matches. A similar model name or superseded part number alone is not evidence of compatibility.

How do accepted and postponed repair recommendations reach the invoice?

Track each recommendation against its estimate, customer decision, version and completed work. Only the approved and completed items eligible under your billing rules should move forward. Keep postponed work available for an appropriate follow-up without treating it as an authorised job or adding it to the current invoice.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
