Connect allocation, dispatch and delivery exceptions

Give each order and delivery issue a clear state, owner and next action across warehouse, carrier and customer systems.

For Warehouse manager, transport coordinator or fulfilment lead

How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

An order needs stock from two locations

Finished result

Traceable pick instructions with remaining quantities and unresolved lines visible.

  1. 01Validate order lines
  2. 02Check source and reservations
  3. 03Apply split-shipment policy
  4. 04Create authorised pick work
When something does not fit

One location reports stock but the picker finds a damaged unit.

What happens next

Hold the affected line and propose an eligible alternate source or backorder.

Inputs, checks and measurement
What starts the workflow
An accepted order arrives before the dispatch cutoff with a mixed basket.
Before taking action
Check customer restrictions, payment release and exact quantities per shipment.
Measure the change
Touches per order and correct-first-time dispatch.

Tracking says delivered but the customer disagrees

Finished result

An evidence-backed delivery case with a customer update and named owner.

  1. 01Join order and carrier events
  2. 02Obtain required POD
  3. 03Compare quantities and exceptions
  4. 04Assign resolution action
When something does not fit

The signature covers several cartons but one was recorded damaged at the depot.

What happens next

Request the missing carrier evidence and route a claim or replacement decision.

Inputs, checks and measurement
What starts the workflow
A customer reports a shortage after a carrier delivery event.
Before taking action
Retain original evidence and distinguish delivery status from accepted quantity.
Measure the change
Investigation minutes and aged POD or shortage cases.

An unresolved loading issue crosses shifts

Finished result

A single actionable handover with a recorded resolution or continuing hold.

  1. 01Capture incident and affected work
  2. 02Deduplicate related alerts
  3. 03Assign next-shift owner
  4. 04Verify closure evidence
When something does not fit

The original supervisor is absent and the same fault appears as multiple tickets.

What happens next

Combine related records and escalate ownership without silently closing the issue.

Inputs, checks and measurement
What starts the workflow
The outgoing team records a blocked bay and an unfinished dispatch.
Before taking action
Carry priority, safe operating restrictions and customer commitments into the handover.
Measure the change
Handover preparation and repeat incidents left without an owner.
Fit before features

When custom work makes sense.

A WMS or transport platform should own its standard workflow. Custom coordination helps when customer formats, carrier events and exception ownership do not line up.

Connect the records you already use

  • Order and warehouse management systems
  • Carrier tracking and proof of delivery
  • Shift handovers and exception records

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Will this replace our WMS?

Not by default. The first job is identifying which records are authoritative and where missing acknowledgements or custom rules need a connection.

Can a delivery be marked complete from tracking alone?

Only if that status meets the agreed completion definition. Some customers require a signed POD, quantities and discrepancy evidence.

Can an order be allocated across warehouses with different stock records?

First agree location identifiers, available-versus-reserved quantities and which system owns each reservation. Where supported, confirm each allocation before releasing pick work and reconcile downstream responses. If a damaged unit or failed reservation removes supply, retain the unresolved quantity rather than assuming the second warehouse has fulfilled it.

How do unresolved loading or delivery issues survive a shift change?

Give the issue one reference with the shipment, evidence, current owner and required next action. Incoming staff see what was attempted and what still needs confirmation. Related reports can be linked for review without automatically merging distinct incidents; closure should require the agreed operational result.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
