Coordinate matter intake, documents and approved follow-up tasks

Give the legal team a complete administrative brief and a traceable task record. Legal advice, conflict decisions and interpretation of obligations remain with the responsible lawyer.

How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

A new enquiry arrives with incomplete party details

Finished result

A complete intake brief awaiting the authorised matter decision.

  1. 01Capture permitted intake facts
  2. 02Identify missing parties and context
  3. 03Apply secure routing
  4. 04Prepare lawyer review brief
When something does not fit

The enquiry names a party that may create a conflict or includes urgent instructions.

What happens next

Flag the review need without giving advice or confirming acceptance.

Inputs, checks and measurement
What starts the workflow
A prospective client describes a matter through a web form or email.
Before taking action
Collect only the approved intake information before engagement is accepted.
Measure the change
Administrative touches per enquiry and missing-data follow-ups.

A matter needs a defined set of client documents

Finished result

An organised pack showing what is present and what still needs attention.

  1. 01Map required items
  2. 02Match incoming files
  3. 03Identify unreadable or incomplete records
  4. 04Prepare secure review pack
When something does not fit

A scanned document is missing pages or belongs to another matter.

What happens next

Request the precise correction and restrict the misfiled record appropriately.

Inputs, checks and measurement
What starts the workflow
The legal team issues an approved document request list.
Before taking action
Preserve originals, version history and matter-level access.
Measure the change
Document chase time and incomplete packs passed to lawyers.

A matter date changes after tasks are assigned

Finished result

A current administrative task record with the change history intact.

  1. 01Read approved date change
  2. 02Identify affected tasks
  3. 03Notify assigned owners
  4. 04Verify acknowledgement and completion
When something does not fit

A team member has already acted on the previous instruction.

What happens next

Flag the completed action for lawyer review and preserve both instructions.

Inputs, checks and measurement
What starts the workflow
Responsible staff approve a revised date or a new required action.
Before taking action
Keep the date source and approver visible; do not infer a new legal deadline.
Measure the change
Unacknowledged tasks and administrative rework after changes.
Fit before features

When custom work makes sense.

Use practice-management features for standard matter workflows. Custom connections help when intake, document collection and task evidence span separate tools and teams.

Connect the records you already use

  • Matter and client relationship systems
  • Secure document workspace
  • Approved dates, tasks and review records

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Can the system decide whether we can accept a matter?

It can collect the information needed for review and route it securely. Conflict, jurisdiction and engagement decisions stay with the authorised lawyer.

Will it calculate legal deadlines independently?

The proposed administrative workflow tracks dates supplied or approved by responsible staff. Legal interpretation and validation of deadlines are outside automatic intake.

Can we start with document collection for one matter type?

Yes. Use a lawyer-approved request list, sample redacted records and clear received-versus-accepted states. Define who checks completeness and what should happen when pages are missing or a file belongs to another matter. This creates a bounded administrative workflow without delegating legal interpretation or matter acceptance.

How would matter access and original documents be protected?

Confirm the practice’s matter permissions, approved storage and allowed processing before selecting a connection method. Carry the matter reference and access limits through each step, retain originals and identify who may correct a misfiled record. The scope must be checked against the firm’s confidentiality requirements; a generic shared inbox is not assumed suitable.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
