Keep catalogue changes and customer issues moving through the store

Bring product feeds, content checks and service requests into a controlled workflow. A product should become sellable only when its variant identity and required information are ready.

Explore three real work situations ↓
How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

A supplier adds new colours and bundles

Finished result

Eligible products or variants appear once, with incomplete records kept out of sale.

  1. 01Compare supplier changes
  2. 02Resolve product and variant identity
  3. 03Build missing catalogue records
  4. 04Validate publication readiness
When something does not fit

A renamed product looks new, or a bundle reuses a component barcode.

What happens next

Hold ambiguous creation and retain the source comparison for review.

Inputs, checks and measurement
What starts the workflow
An updated product feed contains new variants and revised naming.
Before taking action
Preserve existing URLs, exact SKU identity and approved pricing rules.
Measure the change
Time to eligible publication and duplicate catalogue corrections.

A product page has thin or conflicting specifications

Finished result

A complete supported page, or a clear source gap with an owner.

  1. 01Collect approved source material
  2. 02Match facts to the exact variant
  3. 03Prepare missing content
  4. 04Check before publication
When something does not fit

The manufacturer lists a different revision from the supplier’s stock.

What happens next

Request revision confirmation and leave unsupported claims unpublished.

Inputs, checks and measurement
What starts the workflow
A completeness check finds missing dimensions, compatibility or variant images.
Before taking action
Keep provenance and distinguish supplied facts from copy suggestions.
Measure the change
Review minutes per page and factual corrections after publication.

A customer reports the wrong item

Finished result

A confirmed next step and traceable customer update, rather than another inbox handoff.

  1. 01Find order and dispatch record
  2. 02Collect missing evidence
  3. 03Apply return-policy checks
  4. 04Assign the next authorised action
When something does not fit

The customer’s photograph is unclear or the order contains a partial shipment.

What happens next

Request the specific missing detail and keep the case open with its owner.

Inputs, checks and measurement
What starts the workflow
A service message includes an order number and a photograph.
Before taking action
Verify the delivered variant and distinguish replacement, return and refund permissions.
Measure the change
Time to resolution and repeat requests for the same information.
Fit before features

When custom work makes sense.

Use native platform imports and helpdesk rules for straightforward cases. Custom workflows suit multi-source catalogues, conditional publication and service actions that span systems.

Connect the records you already use

  • Storefront and product information records
  • Supplier feeds and source documents
  • Helpdesk, orders and returns

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Can AI fill missing product information?

It can organise supported source material and flag gaps. Unsupported specifications should stay missing until verified, especially compatibility and safety-related claims.

Can returns be handled automatically?

Eligible steps can follow your policy, such as collecting evidence or issuing an approved label. Refunds and disputed eligibility need the agreed authority checks.

How would a catalogue update avoid creating duplicate products?

Compare supplier identifiers, variant options, barcodes and existing channel records using an agreed matching hierarchy. A renamed item is not automatically a new product, and a shared component barcode does not identify a whole bundle. Review ambiguous matches before creating or updating listings.

Can a return follow the right item in a split shipment?

Where the order and fulfilment records allow it, link the request to an order line, dispatched quantity and shipment reference. Track received, inspected, replaced and refunded states separately. An unclear photograph or missing shipment record should produce a focused information request, not an automatic whole-order refund.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
