Connect the booking journey, resource availability and return visit

Coordinate customer enquiries with the actual equipment, spaces and staff needed for the experience. Track service recovery and repeat visits as separate outcomes.

For Venue owner, bookings manager or guest experience lead

Explore three real work situations ↓
How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

A group does not know which experience to book

Finished result

A suitable booking path or specialist handover with no repeated intake.

  1. 01Collect group requirements
  2. 02Read current experience rules
  3. 03Check compatible slots and resources
  4. 04Offer eligible next steps
When something does not fit

The group needs equipment or assistance outside the standard package.

What happens next

Capture the requirement and route a complete event brief before promising a package.

Inputs, checks and measurement
What starts the workflow
An organiser provides group size, preferred date and mixed experience levels.
Before taking action
Keep age, supervision and accessibility questions with the agreed responsible owner.
Measure the change
Enquiry completion and staff handling minutes.

A booked resource becomes unavailable

Finished result

A clear customer plan and corrected resource allocation.

  1. 01Identify affected sessions
  2. 02Compare compatible alternatives
  3. 03Check staff and timing
  4. 04Prepare recovery action
When something does not fit

The only alternative cannot accommodate the group’s setup or accessibility need.

What happens next

Route an approved reschedule, substitution or refund decision to the manager.

Inputs, checks and measurement
What starts the workflow
An equipment fault affects a session that has already been sold.
Before taking action
Do not treat a different resource as equivalent without the relevant rules.
Measure the change
Recovery time and bookings with unresolved resource conflicts.

A first-time visitor does not come back

Finished result

An appropriate follow-up with return tracking and exclusions recorded.

  1. 01Check visit and contact history
  2. 02Exclude returns and unresolved issues
  3. 03Apply approved campaign rules
  4. 04Track delivery and later activity
When something does not fit

A visitor attended under another linked booking or has an open complaint.

What happens next

Confirm identity linkage and resolve service issues before promotional contact.

Inputs, checks and measurement
What starts the workflow
A scheduled review finds an eligible visitor outside an agreed return window.
Before taking action
Use current offers, contact preferences and duplicate suppression.
Measure the change
Delivery and return rates; additional contribution requires a comparison.
Fit before features

When custom work makes sense.

Standard booking software works when each slot has simple capacity. Custom coordination helps when resources, eligibility, group needs and staffing determine what can actually be offered.

Connect the records you already use

  • Booking calendar and resource availability
  • Customer enquiries and experience rules
  • POS, membership and permitted contact records

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

Go deeper

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Related operating experience

See the foundations running at G3.

G3 is our founder’s retail and venue business in Melbourne. Explore relevant capabilities and their boundaries; your industry’s rules still need their own design and validation.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Is G3 relevant beyond a gaming venue?

Its customer front end, resource coordination and staff workflows illustrate transferable engineering. A different venue still needs its own rules and an explicitly scoped implementation.

Can the system accept every booking enquiry?

Only bookings that satisfy the authorised availability and eligibility rules. Private events, unusual setups or uncertain suitability can be routed with a complete brief.

How would capacity account for equipment and setup time, not just people?

Define the resources each package actually needs: spaces, equipment, staff, setup and reset windows. Check how the booking system exposes reservations before agreeing automated actions. A free time slot is insufficient if a required resource is unavailable or the group needs an arrangement outside the published package.

How would repeat-visit follow-up avoid contacting people who already returned?

Agree what counts as a visit and which identifiers may legitimately link attendance, bookings and contact preferences. Check current return records, suppressions and open service issues before a permitted send. If group bookings hide individual attendance, keep that measurement limitation visible rather than treating every unmatched person as a non-returner.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
