Connect enquiries, volunteer coordination and member follow-through

Keep administrative work moving across programmes, volunteers and member services while preserving permissions, eligibility and the owner of each sensitive decision.

Explore three real work situations ↓
How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

A volunteer applies for a role with specific requirements

Finished result

A ready-to-review application with clear outstanding checks.

  1. 01Read approved role requirements
  2. 02Collect missing information
  3. 03Track required verification
  4. 04Prepare coordinator decision
When something does not fit

The applicant is available but has not completed a requirement for working with the programme.

What happens next

Hold placement and route the missing verification to the responsible coordinator.

Inputs, checks and measurement
What starts the workflow
An application contains interests and availability but incomplete checks.
Before taking action
Keep sensitive records restricted and separate document receipt from verification.
Measure the change
Coordination time and incomplete applications reaching placement.

A programme has more volunteers than eligible coverage

Finished result

A realistic activity roster with acknowledged assignments.

  1. 01Read activity requirements
  2. 02Match availability and approved roles
  3. 03Identify coverage gaps
  4. 04Prepare reviewed assignments
When something does not fit

Several volunteers are free but none can cover the role that requires an approved supervisor.

What happens next

Leave the critical slot visible and escalate the gap instead of counting headcount as coverage.

Inputs, checks and measurement
What starts the workflow
An event needs roles, supervision and site coverage across several time windows.
Before taking action
Preserve required supervision and site-specific permissions.
Measure the change
Roster preparation time and unfilled required roles.

A membership renewal is approaching

Finished result

A relevant renewal action without duplicate or inappropriate chasing.

  1. 01Read membership and payment status
  2. 02Check contact preferences
  3. 03Exclude unresolved or special cases
  4. 04Send approved next step
When something does not fit

A member has already paid through another channel or is waiting on an approved concession.

What happens next

Reconcile the payment or route the concession decision before a reminder is issued.

Inputs, checks and measurement
What starts the workflow
A renewal review finds eligible members with different payment and service states.
Before taking action
Keep concessions, restricted programme rules and payment acknowledgements explicit.
Measure the change
Renewal administration time and follow-ups corrected after sending.
Fit before features

When custom work makes sense.

Use membership or volunteer software for standard renewals and scheduling. Custom work helps when programme rules, site needs and evidence cross multiple tools.

Connect the records you already use

  • Membership and programme records
  • Volunteer availability and eligibility
  • Events, service requests and contact preferences

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

Go deeper

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Can the system approve every volunteer automatically?

It can collect information and track the approved checks. Eligibility, safeguarding concerns and final acceptance stay with the responsible organisation staff.

Can it send renewal reminders?

Yes, within the agreed contact preferences and membership rules. Payment status, concessions and unresolved service issues should be checked before sending.

Can we pilot one volunteer programme without changing every team’s tools?

Choose one programme, its roles, availability records and approved checks. Confirm which membership or volunteer records can be accessed and who owns updates. Test an unfilled supervisor role and a missing credential alongside normal assignments before extending the process to other programmes with different requirements.

How would renewal follow-up account for payments made elsewhere?

Agree the membership identifier and how bank transfers, event payments or other accepted channels are reconciled. Check for pending concessions and unresolved service requests before a reminder is eligible. If the payment source is delayed or ambiguous, queue a membership-team check rather than asserting that the member has not paid.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
