Can all staff see guest details?

Access should match the task. Housekeeping or maintenance should receive the information needed to do the work, not unrestricted guest records.

How would housekeeping and maintenance agree that a room is ready?

Keep cleaned, inspected, maintenance-held and releasable states distinct. Agree who can clear each hold and confirm access to the relevant property-management records. A completed cleaning task should not release a room with an open fault; a changed booking allocation should recheck which room the instruction concerns.

Can guest requests be followed through across reception and maintenance?

A first workflow could link a guest request to the room, agreed response, responsible team and completion check. Keep sensitive guest details limited to the staff who need them. A task marked done by a technician can trigger reception follow-up without assuming the guest has accepted the result.
