Keep approved changes and completed work connected to the job

Coordinate scope changes, subcontractor offers and completion evidence without losing the version, exclusions or approval behind each decision.

For Builder, project manager or commercial manager

Explore three real work situations ↓
How it could work

Start with a situation you recognise.

Illustrative designs to scope with your team. Select a scenario, then follow the normal path and the exception.

A drawing change reaches site before the register

Finished result

A variation record linked to evidence, decision and affected job items.

  1. 01Identify drawing revision
  2. 02Compare accepted scope
  3. 03Create proposed variation
  4. 04Route cost and authority checks
When something does not fit

An urgent verbal request contradicts the written approved drawing.

What happens next

Flag the conflict and ask the authorised owner for a recorded instruction.

Inputs, checks and measurement
What starts the workflow
A supervisor receives a revised drawing and a request to change installed work.
Before taking action
Record who requested the change and whether work may proceed before pricing.
Measure the change
Unregistered changes and time spent assembling variation evidence.

Three subcontractor quotes cover different things

Finished result

A comparable offer table with unresolved commercial differences visible.

  1. 01Extract quoted scope
  2. 02Align with work package
  3. 03Identify exclusions and assumptions
  4. 04Prepare comparison for review
When something does not fit

The cheapest quote excludes access equipment and disposal required by the drawings.

What happens next

Show the missing items and request clarification before a selection is approved.

Inputs, checks and measurement
What starts the workflow
Quotes arrive with different quantities, provisional sums and exclusions.
Before taking action
Compare like-for-like quantities and retain the original quote wording.
Measure the change
Comparison preparation time and exclusions discovered after appointment.

Completed work is missing from the billing pack

Finished result

An evidence-linked pack showing ready items and specific unresolved blockers.

  1. 01Match evidence to approved scope
  2. 02Check required sign-offs
  3. 03Identify missing items
  4. 04Assemble review pack
When something does not fit

The work is complete but inspection approval or a signed variation is missing.

What happens next

Chase the exact missing record and hold that item for assessment.

Inputs, checks and measurement
What starts the workflow
A milestone is marked complete across site reports and photographs.
Before taking action
Keep claimed, approved and paid amounts separate; do not infer completion from one photo.
Measure the change
Pack preparation time and approved completed work awaiting billing.
Fit before features

When custom work makes sense.

Use the job-management platform for standard records. Custom workflows help when approvals and evidence arrive across email, site messages and supplier documents.

Connect the records you already use

  • Drawings, contracts and variation registers
  • Subcontractor quotes and purchase orders
  • Site reports, photos and billing records

Access, data quality and write permissions are checked during scoping. Integration availability depends on your systems.

The systems behind these scenarios.

Controls, responsibility and recovery

Agree who can change rules, approve exceptions and authorise each write. Keep a history of source records, rule versions and action results. Detect partial failures, reconcile before retrying and assign unresolved cases to a named owner.

AI can extract, classify and prepare information. Validated rules and agreed permissions govern consequential actions; missing evidence triggers review. Test normal cases, exceptions and recovery against acceptance criteria before launch.

Questions worth asking first.

Start with a sanitised example, the result you need and one awkward case. We will map a bounded first implementation.

Can a site message become a variation automatically?

It can create a proposed change record with evidence. Approval, entitlement and valuation still follow the agreed contract and accountable decision maker.

Does this certify progress claims?

No. It assembles the approved scope and supporting evidence for the person responsible for assessing and issuing the claim.

How would subcontractor quotes become genuinely comparable?

Extract each quote against an agreed scope schedule, keeping exclusions, provisional allowances, quantities and tax treatment visible. Highlight missing access equipment, disposal or other required work alongside price. The estimator confirms scope differences and commercial assumptions before a comparison is used to select a subcontractor.

What records are needed to connect completed work to a claim pack?

Start with one work package: its approved scope, variation references, completion evidence, relevant inspections and prior billing. Map the actual claim requirements and responsible reviewer. Missing approval or a disputed amount stays an assigned exception; it is not counted as approved revenue simply because work was recorded on site.

Do we need an ongoing Canvo subscription?

No mandatory Canvo subscription. An agreed implementation includes 12 months of support for the delivered workflows, defects and minor compatibility changes to existing integrations. Optional proactive care and further development are scoped separately. Software, hosting and API costs remain separate.
